This is a notice to all District Council Members that the 2023 Spring Council Meeting will be held on Saturday, May 6th, 2023 at 10.30 AM MDT. The meeting will be hybrid with in-person at the Wyndam Edmonton Hotel and Conference Centre with virtual access by an online Zoom meeting. The platform will open at 10.15 AM MDT. Call to order will be by 10:30 AM.

All district council members can register for the Zoom virtual meeting. After you register, you will receive a unique zoom meeting link in your email. You can re-register later if you lose the link.

Council members in attendance at the 2023 conference will be able to join in-person.

Who should attend?

The District Council members include the District Executive Committee (DEC) members, Club Presidents, and Vice Presidents of Education.

DEC members include the District Director, Program Quality Director, Club Growth Director, District Public Relations Manager, District Administration Manager, District Finance Manager, Division Directors, Area Directors, and Immediate Past District Director.

These members are required to attend the annual business meeting. A quorum is required for decisions at the meeting.

Apart from these leadership roles, other individuals invited by the District Director and have specific business before the Council may attend Council meeting.

Why should you attend?

When you attend as a district council member, you are fulfilling your fiduciary responsibility to ensure that the governing requirements of the board of directors of Toastmasters International are adhered to.

One important decision at the annual business meeting is the election of new officers that will continue to lead, grow and transform the district. As you participate in the ballot, you are making your voice to be heard.

Another reason is that your attendance counts towards the district level “of the year” award selection criteria for Club Presidents, Area Directors and Division Directors.

Credentials

Prior to the meeting, council members will receive an email with instructions on how to attend. As a vote is required to pass District business, you will also receive instructions on how to vote on behalf of your club. You will be given a unique voter ID and a unique voter Key#. This will serve as your Credentials and eligibility to vote.

For in-person attendees, please bring your mobile devices (phone, laptop, tablets etc) so you are able to submit your votes during and after the business meeting. Voting will be open until 5:00pm MDT Sunday May 7, 2023.

Please note that proxies are no longer required for District Council meetings. Each club has 2 votes, one vote belongs to the Club President and one vote belongs to the Club VP Education. These two individuals are the only ones who can cast a vote or have a voice at the meeting. If you are the President or VP of Education of more than one club, you will receive a ballot and the ability to vote on behalf of each club.

District Election Candidates

Toastmasters International (TI) reviewed our DLC and nominations process. TI’s feedback is that our DLC report must be presented to council as an advisory report as there were procedural gaps in our nomination process. Consequently, all candidates including those successfully vetted in the nominations process must run as floor candidates. See Elections FAQ for reference

  • All successfully vetted candidates will be automatically deemed floor candidates
  • All elected positions will be open to other floor candidates
  • Any floor candidate who wishes to run must notify the district director in writing 7 days before the elections, at the latest, i.e., by April 29, 2023.
