2025 Annual Meeting of the District Council

The District Council conducts the vital business of the District.  The District Council shall hold at least two (2) meetings during each program year.

Members of District Council are: the District Executive Committee (DEC) and the representatives from each Member Club in good standing in the District, who are the Club President and Vice President Education.

Members of District Executive Committee (DEC) are: District Director, Program Quality Director, Club Growth Director, Public Relations Manager, Administration Manager, Finance Manager, Division Directors, Area Directors, and the Immediate Past District Director.

NOTICE: Voting will be electronic and will occur during the meeting.  Instructions will be posted on this page prior to the Annual Meeting of the District Council.

Registration:

Register HERE (Club Presidents and VP Educations, DEC Members)  Click on the link and it will open in your browser.  You will receive a confirmation e-mail upon successful registration.  The deadline to register to vote at the District Council meeting is Saturday, May 25, 2025 at 10:00 AM MDT/CST.  Ballots will be sent via email during the District Council meeting to the email address provided during registration.  Voting must be completed during the District Council meeting so plan to be in virtual attendance with access to your email.  Results will be announced at the District Council meeting.

District Council members and others may attend.  Non-voting members may also register by using the link above.  To register as a non-voting member, indicate “no” for club officer and “no” for District officer, and then submit the form.  You will then be registered as a non-voting member, and will receive the Zoom link.

A quorum consists of one-third of all eligible Club Presidents and Vice Presidents Education. A majority of the votes cast is required to pass a motion. In the event that any business is transacted at a District Council meeting when a quorum is not present, the action shall be deemed as valid as if a quorum were present if it is thereafter expressly approved. Approval can be granted by affirmative vote of a majority of the Member Clubs in the District on the basis of two (2) votes per club via the District’s electronic voting platform.

Proxies for District Council meetings are not permitted.  The Club President and/or Vice President Education of any Member Club may vote on behalf of the club as its representative. Either club officer may carry the club’s two (2) votes or each of these club officers may carry one (1) vote, as determined by the club membership.

The representative from any Member Club in good standing is entitled to a maximum of two (2) votes. District Executive Committee members are entitled to one (1) vote and may cast up to two (2) additional votes as a Club President and/or Vice President Education.
